# Billing settings

> Billing parties, funding sources, payment methods and invoice emails.

These settings are for admins.

## Billing parties

**Settings › Billing parties** lists the people and organisations that pay for patients, such as insurers and employers. Add one once and reuse it across patients. Select **Add billing party** to add one.

Claim numbers for one patient go on that patient's funding arrangement, not here. A billing party that has been used can't be deleted. **Archive** it instead, and old invoices stay intact.

## Funding sources

**Settings › Funding sources** lists the programs that pay for care, such as Medicare, WorkCover, DVA or NDIS. Select **Add funding source** to add one. To claim through HICAPS, choose its HICAPS program.

Expand a funding source to add referral types, such as a GP Mental Health Treatment Plan under Medicare, with their default sessions and period.

A funding source in use can't be deleted. Turn it off to hide it from new referrals and invoices.

## Payment methods

**Settings › Payment methods** lists the ways patients can pay, such as EFTPOS, cash, bank transfer and card.

* Select **Add payment method** to add your own. A method that has been used can't be deleted, so turn it off instead.
* When Xero is connected, choose a Xero account for each method. A method with no account isn't recorded in Xero. See [Map each payment method to a Xero account](https://docs.bilby.health/integrations/xero-setup.md#map-each-payment-method-to-a-xero-account).
* Bank transfer details print on invoice PDFs. Leave them empty to hide the bank section.

## Invoice emails

**Settings › Invoice emails** holds templates for emailing invoices, receipts and Medicare statements. Select **New template**, write the subject and message, and choose what to attach by default. Use **Insert placeholder** to fill in invoice details automatically.

The practice signature is added when the email is sent, so don't type a sign-off.
