# The appointment panel

> Change an appointment's status, edit it, and reach its fee and invoice.

## The appointment panel

Select an appointment to open its details. From here you can open the patient's record, their notes for this visit, and the invoice. Comments in the panel are notes for your team, not clinical notes.

### Change the status

Select the status at the top of the panel and choose a new one. It saves straight away. See [Appointment statuses](#appointment-statuses).

### Edit an appointment

Select **Edit**, change what you need, such as the time, practitioner, type, fee or linked referral, then select **Save**.

To bill a third party, the patient needs a funding arrangement on their **Billing** tab. See [Patients](https://docs.bilby.health/patients/overview).

### Fees, invoices and payment

Adding a fee creates the appointment's invoice. To take payment, select **Invoice** and take it there. See [Billing and payments](https://docs.bilby.health/billing/overview).

You can't remove a fee from an invoice already sent to Xero. Create an adjustment invoice instead.

### Add files to the patient's record

While the panel is open, drag a file onto the page, choose a category, and upload it. Files go on the patient's record under **Files**, not on the appointment.

### Send a reminder by hand

> [!NOTE]
>
> Not every practice has this yet. Bilby turns it on for each practice. If you can't see it, contact Bilby support.

Open the **…** menu, choose **Send reminder**, pick email, SMS or both, and send. It goes straight away. It's only offered for scheduled and confirmed appointments. Automatic reminders still go out as planned.

## Appointment statuses

| Status | Meaning |
| - | - |
| Scheduled | Booked. New appointments start here. |
| Confirmed | The patient has confirmed. |
| Held (shown as Awaiting review) | A time reserved but not yet confirmed. |
| Completed | The visit happened. |
| Cancelled | The appointment won't go ahead. |
| No-show (shown as Did not attend) | The patient didn't come. |

Online booking requests and unpaid private booking links start as held. A patient replying YES to an SMS reminder can confirm an appointment, if your practice has that turned on. Nothing marks an appointment completed or did not attend for you.
