# Clinical letters

> Email letters, choose where they go, and set up letter emails and the letterhead.

A clinical letter is a published note on practice letterhead. You can download it, or email it from Bilby.

## Email a letter

1. Publish the note, then select **Email letter** in its **Note actions** menu. To send several, tick them and use **Export**.
2. Check the message and recipients. Don't sign off: the practice signature is added for you.
3. Select **Review email**, check every recipient, then select **Send email**.

The sent PDF is kept on the patient's **Message history** tab.

If you password protect the PDF, the password is the patient's date of birth as DDMMYYYY. It isn't in the email, so tell the recipient separately.

## Where the letter goes by default

Bilby fills in the referring practice email of the referrer linked on the note, or else of the appointment's referral. If that isn't clear, it's left blank for you to choose. To keep these emails up to date, see [Referrers](https://docs.bilby.health/referrers/overview).

## Set up letter emails

Admins can save wording for letter emails in **Settings › Letter emails**. Staff can still edit the message before sending.

## Set up the letterhead

The letterhead is used on letters, exported notes, pathology requests and invoices. An admin sets it up in **Settings › Letterhead**, with a preview. The logo itself is uploaded in **Settings › Practice details**.
