# Roles and what each can see

> What admins, practitioners and reception can see and do.

Everyone in a practice has one of three roles. An admin sets each person's role in **Settings › Users**.

| Role | Who it suits | What they can do |
| - | - | - |
| Admin | Practice owner or manager | Everything, including Settings, reports and all patients. |
| Practitioner | Clinicians | The calendar, their own patients, notes and invoices, and messages. |
| Reception | Front desk | The calendar, all patients, billing, messages, referrers and the front desk queues. No Settings. |

Practitioners can't open Referrers, Practitioners, Forms, Batch upload or the front desk queues, and see only their own appointments on the calendar. Reception can't open Reports.

Some actions need a particular role even on a page everyone can open. Each page of this guide says so where it matters.

## What "their own patients" means

A practitioner sees a patient once that patient has an appointment with them. They can also open a patient they have just added, so they can book the first visit. Patients booked only with other practitioners stay hidden from them.

A practitioner's account must be linked to their practitioner record. Until an admin links it, they see no appointments and no patients. See [Link a user to a practitioner record](https://docs.bilby.health/getting-started/invite-team.md#link-a-user-to-a-practitioner-record).
