# Merge duplicate practices and referrers

> Use Clean up to find duplicate practices and referrers and merge them.

The Clean up page finds duplicate practices and referrers, and fills in missing details for many practices at once. Only admins can use it.

Open **Referrers** or **Manage referring practices** and select **Clean up**. Each tab shows one decision at a time, like a deck of cards.

## Merge duplicate practices

1. Choose the **Duplicate practices** tab. Bilby compares your practices, which can take up to a minute.
2. Look at the card. It shows each record's address, phone and email, and says whether they are very likely or only possibly the same.
3. Choose the record to keep.
4. Select **Merge into** *practice*, then confirm.

If they are different clinics, select **Not the same**. To decide later, select **Later**.

> Merging deletes the other practices and moves their referrers to the one you keep. It can't be undone.

Similar names alone aren't proof. Many unrelated clinics have near-identical names, so check matches marked possibly the same carefully.

## Merge the most certain practices at once

When several groups are very likely the same, select **Merge the** *number* **most certain**. Read the list of what will be kept and deleted, then select **Merge all**.

## Merge duplicate referrers

1. Choose the **Duplicate referrers** tab.
2. Look at the card. It shows each record's practice, provider number and specialty.
3. Choose the record to keep, select **Merge into** *name*, then confirm.

The referrals move to the record you keep. If the provider numbers differ, Bilby warns you, so check they are the same doctor first.

## Not the same, and Show them again

When you select **Not the same**, Bilby won't suggest those records together again. To bring them all back, select **Show them again** below the cards.
