Only admins can add and change practitioners. Reception can look.
  1. In the sidebar, select Practitioners, then Add practitioner.
  2. Enter their name and specialty, then select Add practitioner.
  3. Open the practitioner and work through the tabs below.
A practitioner can be booked once they have a location, weekly hours and at least one service.

Fill in the profile

On the Profile tab, check their details and choose their Medicare claim type: general for GPs, specialist for everyone else. You can also add a photo, a calendar colour and a telehealth link, which Bilby adds to telehealth reminders. Select Save. For ePrescribing, fill in the Prescribing tab. See Clinical.

Add the practitioner’s locations and provider numbers

On the Locations tab, select Add location, choose where they work and enter their Medicare provider number for that location. Select Save.

Choose which services a practitioner offers

On the Appointment Types tab, tick each service they offer and select Save changes.

Set weekly availability

Patients can only be booked inside a practitioner’s hours. On the Schedule tab, select Add availability period, choose when the hours start and how often they repeat, and add a time slot for each block of the day. For a lunch break, add two slots on the same day. Deleting an availability period can’t be undone.

Hours at more than one location

Not every practice has this yet. Bilby turns it on for each practice. If you can’t see it, contact Bilby support.
When a practitioner works at more than one location, each slot also has a location. Patients are then offered times at the location they are working that day. See Calendar and bookings.

Add leave

Leave stops times being offered, for whole days or only some hours. On the Schedule tab, select Add leave and choose the dates. Existing bookings aren’t moved or cancelled. They stay on the calendar with a warning.

Archive a practitioner

When a practitioner leaves, select Archive practitioner on the Profile tab. They no longer appear when booking, and their appointments, invoices, notes and Medicare records are kept. Select Restore to bring them back.
