The invoice page shows its status, the patient, who it is billed to, the fees and the payments. Medicare, rebate and HICAPS claims appear here too when they apply. More actions (the three dots, top right) has the PDF, email and void options.

Add, edit or remove a fee

  • To add a fee, select Add fee and pick the item.
  • To change a fee, open its menu and select Edit fee. You can change the amount, the date of service, bulk billing and the Medicare or DVA claim details. Then select Save.
  • To remove a fee, open its menu and select Remove fee.
Only MBS items can be bulk billed. A DVA item is paid through a DVA claim, never by the patient.

Change the due date

Select the due date under the invoice number, choose a new date and select Save. It prints on the invoice and is sent to Xero.

Who the invoice is billed to

An invoice is billed to the patient or to a billing party, such as an insurer or employer. Bilby picks it from the appointment’s Bill to setting, then the referral’s funding arrangement, otherwise the patient. Funding arrangements are on Patient › Billing. See Set up who pays.

Change the billing party

Select Change billing party next to the billed-to name, choose another arrangement and select Save. You can only do this before any payment, claim or Xero sync.

Fix Billing party required

This badge means the invoice should go to a third party, but Bilby doesn’t know which one.
  1. Open the invoice and select Resolve billing party.
  2. Choose the funding arrangement it should go to.
  3. Select Save.
If none match, add a funding arrangement on Patient › Billing first.

Void an invoice

Select More actions › Void invoice, add a reason if you like, and confirm. Voiding isn’t deleting. The invoice stays on the record and drops out of totals. Select Restore invoice to bring it back.
If the invoice is already in Xero, voiding raises a credit note in Xero. Restoring the invoice in Bilby doesn’t remove it, so fix Xero by hand.
