The patient record

The top of the record shows the patient’s name, date of birth and status, with Book appointment and the More patient actions menu (three dots). What’s in that menu depends on your role. If the record says the patient is deceased, confirm this before you book more appointments or submit claims. Each part of the record has its own tab: details, appointments, notes, prescriptions, billing, referrals, messages, files and forms. See Clinical, Billing and payments, Referrals, Messages and follow-up, Patient files and Forms. An appointment with a clinical note or billing activity can’t be deleted. Cancel it instead.

Edit patient details

  1. Open the patient’s Details tab.
  2. Select the pencil button on the section you want to change.
  3. Make your changes, then select Save in the bar at the bottom of the screen.
Nothing is saved until you select Save. Select Reset to undo your changes.

Stop SMS to a patient

Edit the personal details and turn off Allow SMS messages, then save. A patient who replies STOP to a text is opted out too, and START opts them back in.

Medicare card and DVA details

On the Details tab, select Add card details (or Edit card details) and enter the card. For a veteran, add the DVA file number and card. If you don’t know the IRN, use 1. Saving a changed card clears its last check, so check it with Medicare again. See Medicare and DVA.

Funding identifiers

Private health fund, NDIS, WorkCover and TAC numbers are on the Billing tab, under Funding arrangements.

Make a patient inactive

On the Details tab, set the patient status to inactive. Inactive patients aren’t offered when you book, but their record stays and you can find them in search. Set them back to active at any time.
Not every practice has this yet. Bilby turns it on for each practice. If you can’t see it, contact Bilby support.
Admins and reception can send a patient a private booking link. The patient picks a time and pays a deposit to confirm. Select More patient actions, then Send booking link. See Online booking and patient pages.

Send a form

Open the patient’s Forms tab and select Send form. See Forms.
